Who we are

The Jim Stamas Memorial Cup is a golf day for charity, held each year in memory of Jim Stamas. It's run by its organisers, Dale Aitkenhead and Duncan Wraight. This notice covers this website, jimstamas.co.uk.

The organisers are the controller of the personal data described here. That means they decide what is collected and what it's used for.

What we keep

When you sign up for a Cup:

  • your name
  • your email address
  • your handicap index
  • whether you're a member at the course
  • who you'd like to play with, and anything else you write for the organisers
  • whether you've paid, how much, and your payment reference

When you play: your team, tee time, playing handicap and scores. We don't collect bank details. You pay by bank transfer, straight to the account named on the sign-up confirmation.

Why we keep it

To run the Cup: to put you in a team, set your handicap, match your payment to your sign-up and contact you about the event. We don't use it for anything else, and we don't send marketing.

The lawful basis is legitimate interests. This means we use your data because it's needed to run an event you've asked to play in, and the use is what you'd expect.

Who can see it

The organisers, through the site's admin pages, which need a sign-in. Your email address, notes and payments are never shown publicly.

Once you're in the field, your name, team, tee time and playing handicap appear on the Cup's day info page. After the Cup, your name, scores and any prizes appear in its results, and on a page with your record across every Cup.

Where it's stored

The site and its database are hosted by Cloudflare. The sign-up form uses Cloudflare Turnstile to check that a person, not a program, is filling it in. Turnstile reads information about your browser to do that.

How long we keep it

  • Email address, who you'd like to play with and notes: deleted 12 months after the date of the Cup you signed up for.
  • Name, handicap, payment record, team, scores and results: kept as part of each Cup's record.

Your rights

You can ask to see the data we hold about you, to have it corrected or deleted, or object to how it's used. Ask Dale Aitkenhead or Duncan Wraight, in person or by replying to any email from them about the Cup. We'll reply within one month.

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.
